TL;DR: An AI chatbot for Shopify returns does one specific job: it takes the return request in the chat and opens it in Shopify, inside the rules the merchant set. On Chatonbo the shopper gives the order number and the order email, names the item, sees the return window and conditions, and replies YES; the assistant opens a return request on the shipped order, the merchant gets an email and a log entry, and approves or declines the request in Shopify. The assistant refuses when the order is outside the window, has not shipped, or when the store has not turned returns on. It can also issue a one-time goodwill discount code, capped at a merchant-set percent, one per order. Available on Pro ($19 a month) and Business ($59) since October 31, 2026.

What does the chatbot actually do with a return?

It opens a return request. It does not approve the return, does not issue the refund, and does not decide between a refund, an exchange or store credit. Those stay with the merchant, in Shopify, where returns are decided today.

What the assistant removes is the part that costs the most time and happens at the worst hours: finding the order, checking that the shopper owns it, checking the return window, stating the conditions, and collecting which item is coming back. By the time the merchant opens Shopify, the request is already there with the right order and the right item.

How does a return in chat work, step by step?

  1. The shopper asks. "I want to return the jacket from order 1042", "how do I send this back", "it does not fit".
  2. The assistant asks for the order number and the order email. Both must match the order in Shopify. With only one, it does not reveal order details.
  3. The assistant asks which item. An order can have several lines; the request is opened for the one the shopper names.
  4. It checks the rules. The order has shipped; the order is inside the merchant's return window, counted in days after delivery; returns are turned on for this store; the store has approved the Shopify permissions the action needs.
  5. It states the conditions. Whatever the merchant wrote in the dashboard, for example "unworn, tags attached, within 30 days of delivery", in the shopper's own language.
  6. The shopper replies YES. Nothing is opened without it. The confirmation step is enforced on the server.
  7. The return request appears in Shopify. The assistant reports the result as Shopify returned it. If Shopify refuses or does not respond, it says so and never claims the request was opened.
  8. The merchant gets an email and a log entry, then approves or declines in Shopify.

What rules does the merchant set?

In the Chatonbo dashboard, under the bot's Integrations, the Order help panel has a switch for Returns and exchanges with two fields:

  • Return window, in days after delivery. The assistant refuses requests outside it.
  • Conditions, in plain words. The assistant repeats them to the shopper before the confirmation.

Both are the merchant's own policy, not a default the assistant invents. If the policy page on the store says 14 days and the panel says 30, fix one of them: the assistant follows the panel.

When does the chatbot refuse?

SituationWhat the shopper hears
The order is outside the return windowThat the window has passed, with the number of days, and that the team has the request
The order has not shipped yetThat a return is not possible before delivery, and an offer to cancel instead if cancellation is turned on
Returns are not turned on for this storeThat it cannot open returns from this chat and the team will follow up
The store has not approved the Shopify permissionsSame as above; the merchant sees a "needs approval" notice in the dashboard
The order number and email do not matchThat it cannot find an order with those details

The refusal is always plain. The assistant does not say "submitted" when nothing was submitted, and it does not promise a refund it cannot see.

Can it offer a discount instead?

Yes, if the merchant turns on the goodwill discount. For a shopper who had a bad experience (a late parcel, a damaged box, a wrong colour), the assistant can issue a one-time discount code capped at a percentage the merchant sets, for example up to 10%, one code per order. It refuses when the order already has a goodwill code. The merchant gets the same email and log entry as for a return.

This is not a replacement for the return. A shopper who wants to send the item back gets the return request. The goodwill code is for the shopper who is keeping the item and is unhappy about something the store can own.

Why handle returns in chat?

Because the return request arrives when nobody is there, and because every exchange of emails to collect the order number is a day lost. In Chatonbo's analysis of 5,470 website chat conversations on 246 live assistants, 39% started outside 9:00 to 18:00 in the visitor's local time ([what shoppers ask an AI chat assistant](/research/what-shoppers-ask-ai-chat-2026)). In the [chatbot lead generation statistics](/research/chatbot-lead-generation-statistics-2026), 44% of order-status conversations end with the shopper leaving contact details, the highest share of any topic, which is what it looks like when a shopper cannot get the thing done in the chat and asks to be emailed.

A return request opened at 22:40 with the right order and item is approved in the morning in one click. The same request by email takes two or three messages before the merchant even knows which order it is about.

How do you set it up?

  1. Be on the Pro or Business plan with the Chatonbo Shopify app installed.
  2. In the dashboard, open the bot's Integrations and find Order help. If it shows "needs approval", click the approve link; Shopify asks you to grant the app permission to write returns (and orders, for cancellations), then returns you to the dashboard.
  3. Switch on Returns and exchanges, set the return window in days after delivery and write the conditions.
  4. Optionally switch on Goodwill discount and set the maximum percent.
  5. Ask your own assistant to return an item from a test order, and check the request in Shopify, the email and the log.

Nothing changes on your store until you turn an action on.

What about address changes?

An address change on an unshipped order is built and uses a 6-digit code emailed to the order email before anything changes. It is not yet available on live stores: it reads the customer's name and address, which Shopify classes as protected customer data, and that use is pending Shopify's approval as of October 2026. We will say so here when it is on.

FAQ

Can an AI chatbot handle returns on a Shopify store?

Yes, within limits the merchant sets. On Chatonbo (Pro and Business) the shopper gives the order number and the order email, names the item, sees the return window and conditions, and replies YES; the assistant then opens a return request on the shipped order in Shopify. The merchant approves or declines the request in Shopify, as with any other return.

Does the chatbot approve the return or issue the refund?

No. It opens the return request. Approval, the refund, an exchange or store credit are decided by the merchant in Shopify. This keeps the chatbot from approving returns it should not, while removing the back-and-forth of collecting order details by email.

What is the return window in the chatbot?

A number of days after delivery that the merchant sets in the dashboard, together with the conditions in plain words (for example unworn, tags attached, original packaging). The assistant states both before the shopper confirms, and refuses when the order is outside the window.

When does the chatbot refuse a return?

When the order is outside the merchant's return window, when the order has not shipped yet (then it offers a cancellation instead, if that is turned on), when returns are not turned on for this store, when the store has not approved the Shopify permissions the action needs, or when the order number and email do not match. The assistant says so and takes the request for the team.

Can the chatbot offer a discount instead of a return?

Yes, when the merchant turns on the goodwill discount. The assistant can issue a one-time discount code for a shopper who had a bad experience, capped at a percentage the merchant sets, one code per order. It refuses when the order already has one.

Does the merchant get notified?

Yes. Chatonbo emails the merchant for every return request and every goodwill code, and writes each action to a log in the dashboard. Every action is off until the merchant turns it on.

What does an AI chatbot for Shopify returns cost?

Return requests, cancellations and goodwill codes are included on Chatonbo Pro ($19 a month) and Business ($59 a month) with the Shopify app installed. There is no per-request or per-resolution fee.

Can an AI Chatbot Cancel a Shopify Order? How It Works, What It Checks and When It Refuses (2026)

Yes. An AI chatbot can cancel a Shopify order when it is installed as a Shopify app with permission to write orders, the merchant has turned cancellation on, and the order has not shipped. The shopper gives the order number and the order email, sees exactly what will happen and replies YES; the order is cancelled and the full amount goes back to the original card through Shopify.
